ME · Club OS module

Treat club merchandise like an operation, not a side hustle.

Merchandise Management is how the club sells gear: stock, sizes, orders and the fulfilment work that usually sits with one volunteer. It keeps the shop connected to people, payments and the same Club OS record as the rest of the season.

The job

What Merchandise Management is for.

Give the merchandise officer a live inventory and order list. Know what is in stock, what is on order, and who is waiting for a size that has not arrived.

Product screenshots go here This module will carry real Club OS captures of the working screens. The layout is ready for them.
Who uses it

Built around real club roles.

Merchandise officer

Owns stock, orders and the Saturday stall.

Registrar

Points families to kit they still need after they enrol.

Treasurer

Sees sales and outstanding orders without a second cashbook.

Team manager

Knows whether the team can be kitted without a group-chat poll.

Inside the module

The functionality committees actually run.

01

A product list the club can maintain

Playing shirts, training tops, socks, hoodies and one-off items each have a record, not a row that only one person understands.

02

Sizes and stock on the same item

“We have hoodies” is not enough. The club needs S, M, L and youth sizes with counts that change when an order is fulfilled.

03

Orders with a person attached

An order should belong to a Club OS person or family, not a first name in a notebook. Follow-up becomes possible.

04

Fulfilment status

Paid, waiting on stock, ready for pickup, collected. That is the work of a club shop.

05

Match-day selling

The stall should be able to sell from the same catalogue the pre-orders used. Two systems create two inventories.

06

A season that can be repeated

What sold, what sat, and what was late. Next year’s merchandise officer should start from that record.

How it runs

A path volunteers can repeat.

01 · Load the catalogue Add the items and sizes the club actually sells.
02 · Take orders Attach them to people and track what is still owed or outstanding.
03 · Fulfil Mark ready and collected so the stall is not guessing.
04 · Review the season Carry stock lessons into the next order cycle.
What it replaces

The hidden systems clubs already have.

  • Inventory in a spreadsheet
  • Size lists in Messenger
  • Cash in a tin plus a hope
  • A merchandise role that cannot be handed over
